Nova Construction ERP

Construction company ERP: projects and sites, purchases from the site by voice message, cash drawers in AFN and USD, bills, subcontractors and workers, estimating, double-entry ledger and a client portal. Running at Etebar Shamsi Construction Company, Kabul.

Nova Construction ERP runs a building company from the site to the boss's desk: who is working where, how far each job has got, what money came in and what went out, and what is about to go wrong. It works in the browser on a computer or phone and as an Android app, in English and Dari, and was built with and is in daily use at Etebar Shamsi Construction Company (شرکت ساختمانی اعتبار شمسی), Kotal Khair Khana, Kabul.

Projects and sites

• Every site with its client, senior engineer, supervisors, watchman, subcontractors and workers, with photos and drawings.
• Progress taken from the tasks, never typed; profit and loss as receipts minus spending, not as a guess from the contract value.
• A Result page per site: earned value against money spent, a verdict and the findings (over contract, spending ahead of work, client behind on payments, site quiet).
• Floors register for partnership builds with the landowner: whose floor is whose, in floors, square metres and units.
• DWG / DXF drawings and 3D models opened in the browser, with measurement.

From the site

• Purchase requests sent like a WhatsApp chat: a voice note, a photo of a handwritten list or a typed list. The senior engineer approves in the same conversation and names the buyer.
• Field attendance, daily site reports with weather and headcount, site issues, safety incidents and the site's invoice archive.
• Works offline on the phone and sends when the connection returns.

Money

• Cash drawers kept separately in afghani and dollar, plus money changers (صرافی), bank accounts and the company's own book, each with its balance per currency.
• Every amount keeps its own currency and the rate locked on the day it was entered.
• Bills known by shop and number, with their photo; a repeated bill from the same shop is refused unless a reason is given. Purchase returns by item.
• Temporary accounts for money handed over before the bills exist, with partial returns.
• Salary versus advance rules (advances capped at half the running month), payroll, subcontractor statements and printed contracts with the amount in words and space for a thumbprint.
• Bulk entry and a site "desk" to bring a running site's past records in from Excel.

Accounting and reports

• Double-entry general ledger built from the same daily records: trial balance, profit and loss, balance sheet, closed months, reversals instead of edits.
• Advanced report by site, person, trade, supplier, purchases, allowances and fines, and who did what; Excel, PDF and print on the company's own letterhead.
• A daily report closed every night, frozen, sent to the boss as a PDF and approved in the app or by signed paper.

Estimating

Quantities, materials, labour and cost worked out from the building's own dimensions with your mix designs and rate book: bill of quantities, rebar schedule, procurement list and nine printable papers. An approved estimate keeps its prices.

Clients, people and control

• Client portal: the client signs in to see progress, photos, drawings, payments and variations, and to send requests. Nothing about the company's own costs is shown.
• Employees, subcontractors (one profile, one engagement per site), workers, suppliers, the owner's family and a phone book.
• Roles and permissions, tasks for every approval, notifications, a full activity log, a 3-hour edit window on money, a 6-month recycle bin and daily e-mailed backups.
